We’re looking for a proactive and highly skilled Executive Assistant to join HMS and support our Group Leadership Team. This is a unique opportunity to step into a central, visible and trusted role in a global company with strong growth ambitions. You’ll be working closely with senior leaders, making sure the team is always one step ahead.
In this role, you’ll be a key partner to our Group Leadership Team — making sure their work runs smoothly and that important meetings, events and initiatives are set up for success. You’ll have a broad and varied scope, supporting both day-to-day activities and more strategic processes. Some days will be highly structured and planned, others will require you to think on your feet and find smart solutions as things evolve.
Typical areas of responsibility include:
Planning and coordinating meetings and events, including logistics and materials
Preparing and refining presentations for different audiences
Supporting administrative processes such as contracts and agreements
Acting as a point of contact for internal and external stakeholders
Contributing to the smooth running of the leadership team through a wide range of tasks — both planned and ad hoc
This is a role with plenty of variety, visibility and impact. You’ll work closely with senior leaders, collaborate across functions, and play a central role in keeping the organization moving forward.

We believe you bring a mix of experience, skills and mindset that includes:
A background as Executive Assistant, Management Assistant or in a similar coordinating role — ideally from an international or listed company
Strong organizational skills and the ability to manage multiple priorities simultaneously
Excellent communication skills in English and Swedish and confidence working with digital tools, especially PowerPoint and MS Office
Agility and adaptability — you can shift gears quickly when plans change
High integrity, discretion and the ability to work both independently and collaboratively
An interest or experience in project coordination, and ideally some familiarity with corporate governance or board work
Above all, you’re someone who enjoys being a trusted partner to leadership, who combines structure with flexibility, and who brings a positive, can-do attitude to every situation.
